FAIR PROCESSING NOTICE: DATA PROTECTION
Like any membership-based organisation,
BECTU holds information about its members.
This notice is to tell you about how we use
('process') this information and what your rights
are. BECTU wants to ensure that its members
understand why their union is processing
personal data (information) about them. Under
the Data Protection Principles policed by the
government's Information Commissioner you
are legally entitled to know
* The identity of the organisation that controls
the data
* The purposes of the data processing
* Anything else needed to ensure that
information about you is processed fairly
and lawfully and with your consent.
Who is the data controller?
BECTU is your trade union and we control the
processing of information about you at the
union's offices by the staff of the union. The
union's employees are contractually bound
to respect your privacy and rights under
data protection law, even if you cease to be a
member. We process information which you
have supplied to us (e.g. in your membership
application form), or which has been supplied
with your consent on your behalf (e.g. by your
employer or union representative).
In this notice we set out how we intend to
use this information. We may not actually use
your information in all the ways described
below, but we want to make you aware of all
potential uses, especially where these concern
marketing and direct mailing.
Data processors
The union occasionally uses a small number
of carefully selected service providers who

are 'data processors' (as distinct from data
controllers). This means they are specifically
authorised by us to process information about
you. They must do this strictly in accordance
with written instructions (a contract) given
to them by us, and they may not use the
information for any other purpose. Examples
are the companies that maintain our database
or that mail your membership card, ballot
papers and our journal to you.
We may sometimes share information
about you with organisations with which we
have agreed to work in partnership. Current
examples are the discounted public liability
insurance cover for freelances provided by
Hencilla Canworth Ltd, BECTU Plus discounted
products managed by Parliament Hill Ltd, the
BECTU Crewbus directory service, and the
reduced-rate entry for BECTU freelances in the
Productionbase diary service. We or our agents
or partners may contact you by mail, telephone,
short message service ("texting"), fax or e-mail
to let you know about and allow you to take
advantage of goods services or promotions
which may be of interest to you.
Opting-out
We carefully examine these and other
partnership arrangements to ensure that they
are, in our opinion, of benefit to members.
However, if you do not wish to receive such
information from us or our partners please
return the slip below to us, but remember that
this will prevent you from receiving any of our
special offers or opportunities. You can return
the slip free of charge using our Freepost
address. You will still be sent ballot papers
and other official union material which we are
obliged to supply you with by our rules or by law.

adjustments, accounting for and reminding
you about your union subscriptions, providing
you with the right to vote as a union member,
enabling you to attend union conferences
events and meetings, providing you with
membership and employment services,
representing you individually or collectively,
enabling you to take part in lawful industrial
action, sending you our journal, marketing
benefits goods and services to you at
advantageous rates, including you in relevant
union insurances, providing you with access
to education and skills, and responding to
your stated preferences. We will keep your
information for a reasonable period to contact
you about our services and to provide any postmembership benefits.
Fair processing
The fact of trade union membership is regarded
as sensitive personal information. BECTU

law. Nor, unless you consent, will we transfer
personal information about you to any country
which provides a poorer level of data protection
than the UK.
You have a right to ask for a copy of
the information we hold on you (for which
we charge a fee of £10) and to correct any
inaccuracies. We will ask for proof of your
identity before we release this. To make sure
we follow your instructions correctly and to
improve our service to you through training
of our staff, we may monitor or record
communications.
If you give us information about another
person (for example, where benefits goods
or services are extended to your partner or a
dependant) this is on the understanding that
they have appointed you to act for them, that
they consent to our processing of their personal
data which may include sensitive personal
data, and that they agree to your receiving data
protection notices like this on their behalf.


